Influence of Reception Desk Placement on Office Visitor Management

Abstract

The study examines the influence of reception desk placement on office visitor management, with emphasis on how the location and spatial relationship of the reception desk to entrances, waiting areas, circulation routes, offices, and security points affect the organization and management of visitors in office buildings. The reception desk serves as an important point of contact between visitors and the organization and often supports visitor registration, direction, communication, waiting, and access control. Its placement can therefore influence visitor movement, staff interaction, privacy, security, and the overall efficiency of the reception process. The study will assess the relationship between reception desk placement and office visitor management in selected office buildings. Attention will be given to the distance of the reception desk from the main entrance, visibility from the entrance, relationship to waiting areas, circulation routes, security points, administrative offices, and visitor access routes. Visitor management will be assessed based on ease of identification, registration time, direction of movement, waiting time, visitor flow, staff interaction, access control, privacy, and ease of monitoring visitors entering and leaving the building. A descriptive cross-sectional research design will be adopted for the study. An appropriate sample of selected office buildings and their users, visitors, reception personnel, and facility managers will be selected using a suitable sampling technique. Data will be collected through physical observation, dimensional measurements, circulation mapping, visitor-flow observations, photographic documentation, and structured questionnaires or interviews. The collected data will be analyzed using descriptive statistics such as frequency, percentage, mean, and standard deviation, while appropriate comparative and correlation techniques will be applied to examine the relationship between reception desk placement and visitor management. The study is expected to reveal that reception desk placement has a measurable influence on office visitor management. Reception desks positioned with clear visibility from the entrance and appropriate connections to waiting and circulation areas are expected to support faster visitor identification, registration, direction, and monitoring. Poorly positioned desks may result in visitor confusion, unnecessary movement, longer registration times, congestion, reduced staff visibility, and difficulties in controlling access to restricted areas. The effect may also vary according to office size, visitor volume, entrance configuration, waiting-area arrangement, security procedures, and circulation layout. The findings will be useful to architects, interior designers, facility managers, office administrators, security personnel, developers, and building owners involved in the planning and management of office buildings. The study may provide practical information for positioning reception desks to support efficient visitor processing while maintaining security, privacy, comfort, and clear circulation. It may also contribute to office planning approaches that improve the first point of interaction between visitors and organizations. The study will conclude by establishing the influence of reception desk placement on office visitor management and emphasizing the importance of coordinating reception areas with entrance, waiting, security, and circulation arrangements. It is recommended that reception desks be positioned where they are clearly visible from the main entrance, easily accessible to visitors, and appropriately related to waiting and controlled-access areas. Further studies should examine reception planning across different office building types, visitor volumes, organizational functions, and security requirements.
