Assessment of Space Allocation in Administrative Buildings
Abstract
Space allocation is a fundamental consideration in the planning of administrative buildings because the distribution of available floor area directly influences functionality, workflow, user comfort, and operational efficiency. Administrative buildings accommodate different activities, including management, staff work, meetings, reception, records management, circulation, and support services, each requiring appropriate spatial provisions. Inadequate or poorly balanced allocation may result in overcrowded offices, underutilized areas, inefficient circulation, and difficulties in accommodating organizational activities. This study assesses space allocation in administrative buildings and examines its relationship with building functionality and user needs. The study focuses on the distribution of space among major functional areas, including executive offices, general offices, reception areas, meeting rooms, waiting spaces, staff facilities, storage areas, circulation spaces, and service areas. The adequacy and proportional relationships of these spaces are assessed in relation to their intended functions and occupancy levels. Attention is also given to how spatial allocation reflects organizational structure, staff requirements, operational relationships, and patterns of use within administrative environments. Circulation is an important factor in evaluating space allocation because excessive or insufficient circulation areas can affect the efficiency of the entire building. Corridors, entrances, stairways, lifts, and connecting spaces should provide adequate movement without consuming disproportionate amounts of usable floor area. The study therefore considers the relationship between allocated functional spaces and circulation areas, with emphasis on accessibility, travel distances, congestion, and ease of movement between related departments. The assessment also considers privacy, interaction, and functional relationships between different administrative spaces. Executive and confidential offices may require greater privacy and separation, while shared work areas and meeting spaces may benefit from convenient connections. Reception and waiting areas should be appropriately positioned to serve visitors without disrupting staff activities. The study examines how space allocation can establish suitable levels of public, semi-public, and private access while supporting effective communication and organizational workflow. Environmental quality and flexibility are additional considerations in assessing space allocation. The size and arrangement of rooms can influence natural lighting, ventilation, thermal comfort, acoustic conditions, and opportunities for future adaptation. Administrative organizations may experience changes in staffing levels, technology, working patterns, and departmental structures, requiring spaces that can accommodate such changes. The study therefore considers whether current allocation patterns support both present requirements and potential future modifications. The study aims to provide a comprehensive understanding of space allocation requirements in administrative buildings. It is expected to identify common deficiencies in the distribution and utilization of floor areas and establish design considerations for improving functionality, circulation, privacy, comfort, flexibility, and operational efficiency. The findings will be useful to architects, planners, facility managers, and administrative organizations in developing appropriately proportioned and efficiently organized buildings that respond effectively to organizational activities and changing workplace requirements.
